I want to schedule my meeting in advance. How can that be done?
|
Question: Can a SmartCloud Meeting be scheduled in advance?
Answer: Yes, you can include the meeting URL in any advanced notification that you provide to participants. The ad hoc nature of SmartCloud Meetings means a meeting can be set up on demand. As the moderator of the meeting, you have complete control of starting and stopping a meeting as needed; you can also invite anyone you wish to attend the meeting.
Your SmartCloud meeting is always available; there are no steps you need to take to schedule its availability. You need only provide the meeting URL and meeting ID to your participants. This meeting ID does not change. (This functionality is similar to a telephone conference service, where you have a dedicated passcode that activates your phone conference.)
With this flexibility, if you as meeting moderator wish to schedule a meeting in advance with a group of participants, you simply
-
send an e-mail or calendar invitation from your mail client
-
include the meeting URL and your meeting ID, along with the date and time for the meeting, in the e-mail or invitation text
example Meetings URL link: https://apps.na.collabserv.com/meetings/join?id=xxxx-xxxx, where xxx-xxx is the moderator's meeting ID
Start the meeting a few minutes before the designated meeting time, so participants can join the online meeting using the URL previously provided.
Note: If you need additional planning and approval processes for a planned meeting, SmartCloud Events provides additional planning tools around the SmartCloud Meetings functions. |
