In a hybrid environment, to change the
IBM®
Lotus Notes® user name of a service user, you first initiate a name change for the user on premises from the
Domino® Administrator using the standard method that you use to change a
Lotus Notes name. Then, when directory synchronization occurs with the service, the name change process is initiated for the servers in the service as well. This changes the
Lotus Notes user name, but does not change the user account name in the service. Edit the user account in the service to change the name there.
Before you begin
The following tasks must be completed for the name change to complete successfully:
- Complete the task Issuing a Vault Trust Certificate. You must issue a Vault Trust Certificate so that user ID files can be uploaded to the ID vault.
- Make sure the user ID of the person whose name has changed is stored in the ID vault in the service environment. An ID is uploaded to the vault when the Lotus Notes client configuration tool is used to connect a Lotus Notes client to the service, or when a mail file is transferred to the service and the ID was imported into it before the transfer.
Changing the name of a user in a hybrid environment is a multi-step process. Many of the steps occur asynchronously, so there is no set time by which the rename process completes. In addition to issuing a Vault Trust Certificate and storing the user ID in the ID Vault, you are strongly encouraged to follow these recommendations to ensure a successful rename operation:
- Do not rename a user twice in a short period of time. Doing so can cause concurrent rename requests, which are less likely to complete successfully.
- If you need to rename a user a second time, wait until the user has accessed their mail in the SmartCloud Notes® service using their newest name. Then initiate the second rename.
- It is not advisable to rename a person who has just joined the SmartCloud Notes service. Therefore, when you add a user, be very careful entering the user name.
- If a rename fails to complete, contact IBM SmartCloud™ Notes Support.
About this task
Changing a
Lotus Notes user name in a hybrid environment involves three major tasks. Complete each task before you move on to the next one.
The procedure below provides a high-level set of steps you complete using both the
Domino Administrator client on premises and SmartCloud
Notes Administration in the service. For step-by-step procedures that provide information at a more granular level, use these references:

Steps 1 and 2 below must be performed on an on-premises
Domino server whose directory is synchronized with a server in the service.
Procedure
- From the Domino Administrator client, on a server whose directory you synchronize with servers in the service, initiate a Rename process from the Tools pane (Tools -> People -> Rename -> Change Common Name). This process changes the user's Lotus Notes name in directories, database ACLs, and in groups that include the name on both servers in the service and on-premises servers. During directory synchronization, the servers in the service are updated with this new information.
Important: Do not change the Internet address field at this time. Wait for the name change process to complete before you change the Internet address.
- After the Rename process completes (see the Results section for how to confirm completion), change the Internet address. Again from the Domino Administrator, edit the Person document of the user and update the name in the Internet Address field. During directory synchronization, the servers in the service are updated with this new information.
- After steps 1 and 2 have completed, update the service user account to reflect the name change. Log on to the service as an administrator, and in User Accounts, edit the user account:
- In the Basics section, update one or both of the Name fields. (Users can change their service account names themselves by editing My Account Settings.)
- In the Account Identity section, update the email address used to log in to the service. Depending on how the account is set up, the email address field is either Notes Email or Email. The Email field displays when the email address used to log in to the service is an external address, instead of the Lotus Notes email address. In such cases, the Notes email address displays in the Subscriptions section, and cannot be changed.
Results
Use the information in this table as a guideline for how long each name change takes to complete.

| Step 1 - Initiate the Rename process | The Lotus Notes name change might take as many as five days to complete. During that time, the current user name remains valid. After the rename process has completed, you can confirm the name change completion in the following places:
- The user's Lotus Notes name is changed in directories, database ACLs, and in groups that include the name on both servers in the service and on-premises servers.
- When the user logs in to the Lotus Notes client, the new name displays in the User name field in the Lotus Notes login window.
- The user's mail file ACL lists the new name.

| Step 2 - Change the Internet address in the Person document | This change occurs quickly and servers in the service are updated during directory synchronized usually within half an hour. |
| Step 3 - Change the service account name and email address | The name change occurs immediately, and the new name and address display the next time the user logs in. |
What to do next
If the
Lotus Notes user name of a delegate changes, then the owner of the mail file must reassign delegation using the new name. Doing so updates the mail file ACL (access control list) with the new name, which allows the user access to the database.
