Overview


Important: This process should be done only if the user has no other IBM SmartCloud™ for Social Business (SmartCloud for Social Business) service subscriptions and you do not plan to reinstate the user's IBM SmartCloud Notes® (SmartCloud Notes) subscription. When you delete a user using this process, all of their SmartCloud for Social Business subscriptions, including subscriptions other than mail, will also be removed, and the user's data will be lost.

Objectives


After completing this exercise, you should be able to:

  • Delete a SmartCloud Notes user's account.

Procedure

  1. Log into the service and navigate to the SmartCloud Notes Administration panel. For detailed steps, see the procedure document Accessing the SmartCloud Notes Administration pages.
  2. From the left navigation pane, click User Accounts.

  3. Click the arrow next to the user's name that you would like to delete.
    There is a button next to the user's name. Click that button to open the user menu options

      Important: Be sure that you are deleting the correct user. A SmartCloud Notes user should be deleted only if the user has no other SmartCloud for Social Business subscriptions and you do not plan to reinstate the user's SmartCloud Notes subscription. When you delete a user using this process, all of their SmartCloud for Social Business subscriptions, including subscriptions other than mail, will also be removed, and the user's data will be lost.
  5. You will be prompted with a confirmation window. If you are sure that you want to delete the user, click Delete.

      Note: Be sure to read the entire window. In particular, take note of the warning: "Deleting this user will also delete all data associated with this user."
  6. You will be returned to the User Accounts tab. Notice that the user's status has changed to "Remove Pending".

  7. The deletion may take a few minutes. After the deletion is processed, verify that the user no longer appears in the User Accounts view.

  8. (Optional) Further verify the deletion by confirming that the user is no longer listed in the Company Directory. One way to view the Company Directory is to create a new message, and click the To link. Select Company Directory from the Search in menu.

    In SmartCloud Notes Administration, under Users and Groups, click Users

    Users is highlighted under Users and Groups.

    Click Deleted Users

    Revoked Users is selected in the navigator on the left

    The users you have deleted appear in the list of SmartCloud Notes Deleted Users. Next to the name of the user you want to recreate as a new account, click Revoke.

    Confirm the revocation.

    A warning message appears asking if you are sure you wish to revoke the deleted user. Choices=Confirm or Cancel

    Once you have revoked the user, you may immediately recreate the user in the service with the same name and e-mail address. A new mail file is created for the user. Messages from the previous mail file are not carried over.
    If you later determine that the user should not have been deleted, two different scenarios apply depending on how long ago you created the user:

    If you deleted the user's account within 7 days of originally creating the account, you can create a new account with the same name or internet address. This user will be a brand new user. Any information or data from the previous instance of the user's account will not be carried over to this new account.

    If the user's account is deleted after the 7 day window, you must wait 30 days until the user may be added as a new account, with the same name or internet address, into the service. Remember that when a user is deleted, their personal data, such as the messages in their mail file cannot be recovered. If you do not want to wait 30 days, and you want to add back a user with the same name or internet address, you must revoke the user first, before you re-add the user. To revoke the user account:
