Overview

You can access your SmartCloud Notes mail on a SmartCloud Notes mail server through a browser using the SmartCloud Notes web client or through a Lotus Notes client. You can use one or both of these clients, depending on how you set up SmartCloud Notes.

Note: Users with an IBM SmartCloud Notes Entry subscriptionexternal link may access their SmartCloud Notes mail using only SmartCloud Notes web.

When you access your SmartCloud Notes mail using a Lotus Notes client, you can take advantage of the many collaboration features that are available through the Lotus Notes client. SmartCloud Notes provides a single point of access to e-mail, calendars, contacts, activities, instant messaging, feeds, office documents, collaboration tools, and business applications. In SmartCloud web you can manage your Inbox using full-text search, delegation, mail filtering and sorting, conversation views, and flags. In this exercise we will set up SmartCloud Notes to access first from a Lotus Notes client and then access your account with a web client.

Additional features available in the Lotus Notes client:

Activities: Beginning with Lotus Notes 8.5.2, if your organization has an IBM SmartCloud Engage subscription, then the right sidebar in the Lotus Notes client is automatically configured to access Engage Activities without further authentication.

IBM® Sametime®: Use the embedded IBM Sametime client in the right sidebar to manage instant messaging contacts and initiate chats.

Documents: Create and edit Notes documents in Lotus Notes applications.

Widgets: Add widgets to the right sidebar.

RSS feeds: Subscribe to RSS feeds using the feed reader in the right sidebar.

Create and manage Lotus applications: Using Lotus Notes templates, create and manage Lotus applications, such as teamrooms, or discussion databases.

Elements of Lotus Notes can be found in IBM Lotus Domino® and Notes Information Center. Product help is available by clicking Help -> Help Contents at the top of the window. For additional information, including Lotus Notes tutorials, see the Media Gallery in the Lotus Notes and Domino wiki. Information on Lotus. Refer to the Resources section at the end of this exercise for links.

As stated previously, users have the option to access their SmartCloud Notes mail using both the SmartCloud Notes web client and a Lotus Notes client. In order to access SmartCloud Notes with both clients, you will need to complete the following:
  • Install Lotus Notes. Use the task "Installing Lotus Notes" in Exercise 3.3: Install and Setup the Lotus Notes Client
  • Set up Lotus Notes. Use the task "Setting up Lotus Notes" in Exercise 3.3: Install and Setup the Lotus Notes Client
  • Configure SmartCloud Notes and SmartCloud Notes web if you will use both the SmartCloud Notes web and the Lotus Notes client to access SmartCloud Notes
System Requirements:
  • Lotus Notes 8.5.1 client w/ Fix Pack 5 (or later)external link
  • Lotus Notes 8.5.2.x client using the standard configurationexternal link
  • Lotus Notes 8.5.3.x client using the standard configurationexternal link

Objectives

In this exercise, you will:
  • Log onto IBM SmartCloud Notes (SmartCloud Notes) as an existing SmartCloud Notes user with other IBM SmartCloud for Social Business (SmartCloud for Social Business) subscriptions and configure the service for Lotus Notes client access
  • Run the Lotus Notes client configuration tool to complete the configuration of your Notes client

  19. Once you are in your mail inbox, you are now set up to use either client to access your mail.

Troubleshooting Scenario 1

A SmartCloud Notes user cannot log on to the service
  1. Determine if another SmartCloud Notes user or administrator can log on to the service. If another user or administrator can log on, continue to Step 2. Otherwise, there may be a problem with your SmartCloud Notes subscription and you should contact Support.
  2. If the user was able to log on previously, perform the following steps, stopping at any step that resolves the problem:
    1. Ask the user to close all browser windows and to try to log on again.
    2. Ask the user to clear the browser cookies "collabserv.com" and "apps.na.collabserv.com" or "apps.ap.collabserv.com" and to try to log on again. Also clear lotuslive.com, apps.lotuslive.com or apps.ap.lotuslive.com if they exist (these reference the former domain name of the service). The steps to clear cookies vary by browser and browser version.
    3. To determine if the problem is browser-related, ask the user to switch to another browser and to try to log on again.
    4. To determine if the problem is related to the user's computer, ask the user to switch to a browser on another computer and to try to log on again.
    5. To determine if there is a problem with the original user's SmartCloud for Social Business account, ask another user to try to log on using the original user's computer and browser. If the other user can log on, continue to Step 4.
  3. If the user has not logged on previously:
    1. The admin should check the user's status to ensure they are listed as "ACTIVE" and not "Pending."
    2. To determine if the problem is browser-related, ask the user to switch to another browser and to try to log on again.
    3. To determine if the problem is related to the user's computer, ask the user to switch to a browser on another computer and to try to log on again.
    4. To determine if there is a problem with the original user's SmartCloud for Social Business account, ask another user to try to log on using the original user's computer and browser. If the other user can log on, continue to Step 4.
  4. Perform the following steps to reset the user's password: (You may also refer to Exercise 2.7: Resetting the Web password for an IBM SmartCloud Notes user.)
    1. Log onto the service as a SmartCloud Notes user with the Administrator role.
    2. Click the Administration link located at the top, right of the window.
    3. Click User Accounts, select the user from the list of users and click the down arrow and then Edit User, reset the user's password to create a new temporary password for the user, click Finish, and log out.
    4. Provide the new temporary password to the user and ask the user to try to log on again to the service.
    5. If the user is able to log on, the user will be prompted to set a new password. If the user is still unable to log on, proceed to the next step.
  5. If none of the previous steps resolve the logon problem, gather the following information and contact Support.
    • Browser version
    • User name
    • Any error messages
    • Steps to reproduce the problem

Troubleshooting Scenario 2

A user receives either of these errors when attempting to log in to the Lotus Notes client: "ID in vault has download count of zero" or ID in vault has expired download time or "The 5-day limit on downloading a SmartCloud Notes ID or new password from the ID vault has expired."

If this error occurs after running the client configuration tool, these messages indicate that the 5-day limit on downloading a Notes ID from the service has been exceeded. The ID is required to access a SmartCloud Notes mail server.
  1. Ask your company administrator to reset your Lotus Notes password.
  2. Use the new password within 5 days to log on to Lotus Notes to connect to your SmartCloud Notes mail server.
  3. Note: Information on how to reset a users Lotus Notes password can be found in "Exercise 2.5: Managing the password for a User's Lotus Notes User ID"

Troubleshooting Scenario 3

A user receives the error, "Server not responding" when attempting to access their mail in the Lotus Notes Client. The computer cannot connect to the service. Try any of these actions to correct the problem:
  1. Make sure your computer is connected to the network.
  2. Make sure your virtual private network (VPN) connection is functioning, if you use one.
  3. If you are still not successful, contact your company administrator.
