Prepare for calendar scheduling to allow on-premises users and service users to look up free time for each other and schedule meetings together. Calendar scheduling also allows service users to reserve resources in Resource Reservations databases located on-premises.



Prepare for calendar scheduling to allow on-premises users and service users to look up free time for each other and schedule meetings together. Calendar scheduling also allows service users to reserve resources in Resource Reservations databases located on-premises.

Procedure

  1. Make sure that the Calendar Connector (CalConn) server task is enabled to run on each mail server to be used for free-time requests with the service. To verify that the task is running, look at the ServerTasks setting of the notes.ini files of the servers. The task is included in the ServerTasks setting by default, so simply make sure that somebody has not removed it. Running the CalConn task ensures that service users and on-premises users can look up free-time for each other. The task uses CPU or memory resources only when handling free-time requests.
  2. Make sure that each mail server in a domain that performs free-time requests for service users runs IBM® Lotus® Domino® 8.5.1 Fix Pack 2 or later.
  3. You can enable free-time requests between service users and on-premises users registered in secondary domain that is not your primary mail hub server domain. To do so, include either an Adjacent Domain document or a Non-Adjacent Domain document in the Domino directory of the primary mail hub server domain. In the document, specify the name of the Calendar server that handles free-time requests for the secondary domain.
  4. To enable service users to reserve rooms and resources in a domain for meetings:
    1. Make sure that there is at least one Resource Reservations database in the domain and that mail can be routed between the domain and the service.
    2. Optional: Make sure that each site name in the Resource Reservations database is unique across all Resource Reservations databases that are used with the service. If two or more sites have the same name, the service lists them together under that name and users can inadvertently reserve a resource at an unintended site. See Technote 1473022 for instructions on making site names unique.
  5. If you synchronize an extended directory catalog (EDC), each of your primary mail hub servers must be configured to use directory assistance to do lookups to the EDC. Directory assistance is required to use the EDC for free-time lookups.
