Activities

When creating Activity Entry bookmarks, unsafe URI patterns will not be saved

Data that can represent a XSS attack, if identified, is stripped from bookmark field.
e.g. javascript:// is considered dangerous and can allow XSS hacking.
javascript://abc will be converted to about:blank when saving a bookmark. Other dangerous patterns will be converted in similar pattern.

While attempting to save an entry with a tag over 64 characters in Activities, you receive an error message "We have encountered a problem" also known as browser error 500

Workaround
Keep Activity entry tags at 64 characters or less

Carriage returns in activity goals and notification messages are not rendered in email (47417)

When a user is notified about an Activity or entry, carriage returns in activity goal and notification message are not rendered.

Workaround
None.

Downloading a file from Activities that contains more than 50 bytes of Unicode characters in the file name loses some characters (50078)

This issue applies only to Internet Explorer 6 and 7. If a file contains more than 50 bytes of Unicode characters, or certain characters such as spaces (approximately 15-25 non-latin characters), Internet Explorer will only use the last 50 bytes of the file name. This results in a file name with missing characters from the beginning, and in some cases garbled characters in the beginning such as "%3E".

Workaround
When using Internet Explorer 6 or 7, shorten the file name to be smaller than the limit imposed by the browser.

Exporting an activity adds "" to beginning of CSV file (54419)

Exporting an activity to a CSV file adds the Byte Order Marker to the beginning of the file to allow some versions of Excel to open the file properly.

Workaround
Delete the Byte Order Marker from the cell or use the Text Importation wizard in Excel.

In long activity goals, blank lines and line feeds are not shown correctly (52556)

In Internet Explorer, if you click "...more" in an activity goal of over 4000 characters, the line breaks are not rendered, so you lose all the white space in the goal.

Workaround
None.

Some file names in Microsoft Word (.doc) files do not render correctly in activities when you use Internet Explorer 6 and 7 (50005)

Attach a Microsoft Word (.doc) file with a double byte character set (DBCS) name to an activity entry. Save the activity and then download the file. The file name that displays does not render correctly and is unreadable in activities.

This only occurs in Internet Explorer 6 and 7 (Internet Explorer 6 seems to have a slightly larger buffer). It does not occur in Internet Explorer 8 or higher.

Workaround
None.

Long description in activity entries and goals cannot be exported to CSV file (SPR #SYEE8E9VQ9)

If an activity entry or goal has more than 2K of data, only the first 2K of text can be exported to the CSV file using the Export Activity feature.

Workaround
None.

Notification emails for Activity updates no longer include salutations (25939)

Notification emails for Activity updates no longer include the salutation at the top of the email.

Workaround
None.

Very long field titles in Activities crash the browser (31710)

Titles on activities and activity entries are limited to 2K of data. This is equivalent to 2048 ASCII characters. The number of characters in other languages will depend on the UTF-8 encoding of the Unicode characters. See the following technote for more information:
http://www-01.ibm.com/support/docview.wss?rs=0&context=SSCYJJE&q1=title&uid=swg21396874&loc=en_US&cs=utf-8&lang=

Workaround
Do not create activities or activity entries with more than 2K of text.

Use full search option is not available when member is not found in type-ahead (SPR#SYEE8EERP6)

The Activities tool tip for adding new members suggests that if the name you want is not displayed, click Use full search to search for it.

This is not correct. The option is not available.

Workaround
Check the name or email address of the user and try again.

Error message displays in a federated environment when you view an RSS feed for LotusLive Connections applications (76028)

LotusLive does not support viewing LotusLive Connections RSS feeds in federated environments - deployments where you can log in once to visit several websites. If you subscribe to an RSS feed, you might be challenged by password authentication or an error message when you try to view RSS feeds from LotusLive Connections applications such as Activities, Communities, and Files.

Workaround
None.

Administration

The "Display Challenge questions to users to confirm identity" option does not work (57733)

Setting the Password Reset Method to "Display Challenge questions to users to confirm identity" does not change the password reset method for users. The setting is accepted however the default password reset method using email to confirm identify is still used.

Workaround
None

Admin is not able to Edit a User(62208)

If the Admin has not yet setup a mail domain (Notes or iNotes) it is not possible to edit and save existing users.

Workaround
Admin needs to configure the mail domain then users can be edited and saved correctly.

Browser exception error displays when the company administrator attempts to add a new user but leaves the email field empty (62028)

This issue occurs when a new user does not enter any value for the email field under account identity and passes by it either by using the tab key or mouse. As a result, there an error occurs on the Add User page along with a stack trace.

Workaround
Be sure to enter a valid email address in the email field before moving to the next filed.

Default language for integration server change files when no language is specified (65481)

The integration server documentation may indicate that when no language is specified in a provisioning change file, the default language used is English. In fact, the default language used is the company contact language. An administrator specifies the company contact language on their My Account Settings page using the Localization and Language options.

Using line feeds and carriage return characters in integration server change files (62689)

Each line of a user provisioning change file must end with an appropriate carriage return or line feed character. On Windows platforms use \r\n (0x0D 0x0A) and on UNIX or Linux platforms use \n (0xA). While the LotusLive integration server can process files with either line ending format, you should use the TEXT transfer format to ensure that proper line endings are sent to and received from the intermediary FTP server.

Case-specific integration server constraint for changetype in Directory Integration change files (70406)

For Directory Integration (DI) change files, the integration server does not process changetype operations where the changetype name contains a capital letter. For example, changetype "Add" entries are ignored but changetype "add" entries are processed.
Workaround: Until this issue is resolved, use all lower case characters for changetype specifications in directory integration change files.

Integration server documentation missing error codes 1059-1068 (74111)

The "Error code values for processed change files" topic is missing the following error codes:

1059 -- INOTES_FAILED_GET_DOMAINS -- The iNotes endpoint failed to obtain the customer domains.
1060 -- INOTES_NOT_ENABLED -- The user provisioning request failed because iNotes is not enabled in this environment.
1061 -- CANNOT_RESEND_TO_PENDING_ENTITLE -- The invitation cannot be resent because the subscriber has a seat in the ENTITLE_PENDING state.
1062 -- INVALID_PARAMETER -- An invalid parameter was encountered.
1063 -- SUBSCRIPTION_NOT_IN_ACTIVE_STATE -- A specified subscription could not be processed because it was not active.
1064 -- INVALID_SEAT -- An invalid seat was specified.
1065 -- SEAT_REVOKE_FAILED -- A RevokeSeat operation failed.
1066 -- CHANGE_SEAT_FAILED -- A ChangeSeat operation failed.
1067 -- SUBSCRIBER_FETCH_FAILED -- A BSS communication error occurred during a subscriber fetch operation.
1068 -- CUSTOMER_FETCH_FAILED -- A BSS communication error occurred during a customer fetch operation.

Improvements needed to Timezone information in integration server documentation (76330)

-- In the "Time zone values for change files" topic, the following statement:

Reference information on time zones and their naming is available from sites such as Wikipedia by searching on the phrase "Java™ TimeZone FAQ."

should be changed to:

Time zone names are listed to the far left and are defined in the tz database, which is also referred to as the zoneinfo database or Olson database. See "List of tz database time zones" in wikipedia for reference information.

-- In the "Examples: User provisioning change files" topic, all instances of US/Eastern should be changed to America/New_York in the example syntax.

-- In the "Creating user provisioning change files" topic, the description of the TimeZone field should be "Specifies the user's time zone. See Time zone values for change files for legal values."

Integration server enablement topic is missing information (75950)

There is an omission in the "Requesting LotusLive integration server enablement" administration help topic. The bulleted list under step 2 is missing the "Integration server user" bullet entry as follows:
  • Customer ID – Specify the numeric identifier of your account. This value should match the Company (or organization) ID for your organization.
  • Integration server user – Specify a user name or account identity for whom an FTP account will be created for uploading integration server change files and downloading their results files through the FTP site.
    • This is the account identity of the user for whom an FTP account will be created for uploading change files and downloading their associated report, log, and trace files.

    • Note: You can also specify a different account identity for whom an additional FTP account will be created for downloading authorization and application journal files.
    • The specified user name or account identity must already exist and does not require an Administrator role.
    • You can specify one or more administrators and can optionally create a user name or account identity specifically for the required task, for example llisid_admin@acme.com for integration server functions and llisid_journaladmin@acme.com for journaling functions.

Assignseat operation with just the NotesDN value fails (75189)

When using an AssignSeat operation in a user provisioning change file, you must specify a givenName, familyName, and NotesDN value for that user or else the operation will fail. The givenName and familyName cannot be automatically derived from the NotesDN value.

The following enterprise integration change file time zones were added or updated after the help was published (67738):

Pacific/Chuuk (GMT+10:00) Chuuk Time
America/Curacao (GMT-04:00) Atlantic Standard Time (Curacao)
Pacific/Pohnpei (GMT+11:00) Pohnpei Time
Europe/Moscow (GMT+04:00) Moscow Standard Time

Workaround
If the contact name contains an accent, the search term must include the accent.

Communities

Shared files reappear on reading the removed widget of the community (51291)

If you remove the Files widget from a community, the files and folders that appeared there will continue to be shared with that community. Removing the widget does not remove the shares. Therefore, if the widget is re-added to the community, then the same set of files and folders will reappear.

Workaround
None. This is working as designed.

Searching for a term within the title for many communities does not return all communities (54491)

Not all communities with the search term are returned. Only the communities that have the search term as a tag are returned. Search is designed to find community names based on an exact match or a wildcard query. The Development team does not have any plans to provide ngram search support yet

Workaround
Use wildcard characters in the search term for more complete result sets.

Community's upload image feature doesn't work using the keyboard instead of the button. (54647)

Start a community and click the "Upload a Community Image" link to get a "Browse..." dialog, then use the tab key to move the focus on it, press the Enter key to invoke it. It worked as the save function not as an upload function. The Community is saved without the uploading image. This is a third party software bug. The Description field in a community form has a limit length (53948)

When creating or editing a community, there is a 2048 byte limit associated with the Description field in the community form. This is not documented in help.

Workaround
Do not create a community description with more than 2048 bytes of data.

ALT text for images in browsers (58775)

Online help uses the ALT property on images to display alternate text if the image does not exist, cannot be displayed, or cannot be downloaded to the browser. The ALT property is also read by tools such as screen readers to aid accessibility.

Microsoft Internet Explorer and Mozilla Firefox browsers treat the ALT property different ways. Internet Explorer treats the ALT text as hover help. Firefox does not treat the ALT text as hover help; Firefox only uses the text if the image is broken or if it is read by a screen reader

Workaround
None. This is working as designed.

Add and Invite Members text box moves across screen when greater than 65 characters are entered; only on Internet Explorer 6 and Internet Explorer 8 (57323)

When you are in the Community's Members page and click Add Members, or Invite Members, and then you enter a user name or group name over 65 characters in the name box the text box and whole line begins to move left across the page as you enter more characters. To demote a user from editor on a file to reader, navigate to the Sharing tab on the file summary page. Click the link for "See who has shared...". Now select the X next to the name of the user. The dialog that opens will have a button that allows you to demote the user to reader.

The dialog for removing organization public access has a very confusing typo (71321)

When removing organization public access from a file a dialog opens with information about what it means to remove public access. Removing public access from a file will be automatically remove the file from any public folders or communities. The warning message that is displayed reads "If access is removed, the file is removed from folders and communities that are not organization public...", which is the opposite of what is true. The message should read "If access is removed, the file is removed from folders and communities that are organization public..."

The Pinned Folder option does not appear when selecting a folder from Activities (72658)

When selecting a folder from Files within an Activity the picker dialog does not include a link to show Pinned Folders. Folders can be located through the other navigation options.

Some files report an error when downloaded in Internet Explorer (72659)

When downloading files in Internet Explorer, a user may encounter an error that indicates that Internet Explorer could not download the file. In rare circumstances a user can receive two sets of browser cookies that conflict. To work around this issue, instruct Internet Explorer to remove all cookies by following the instructions here http://support.microsoft.com/kb/278835

When a whole folder is downloaded, the name of the ZIP file that is created is "files.zip" (72188)

When downloading the contents of a folder as a ZIP file, the name of the ZIP file is files.zip. In previous versions of LotusLive the name of the ZIP file was based on the folder name.

Files API returns 0 instead of -1 when there are no anonymous downloads or comments

Unable to access check boxes in the "Share Files with a Community" dialog box (38235)

If you set the text or font size of a browser to a setting that is larger than the default, you may be unable to access all of the check boxes in the Share Files with a Community dialog box, especially if a large number of files have been shared with the community.

This issue would occur, for example, in Microsoft Internet Explorer if you go to View > Text Size and pick any size larger than Medium. Also, in Mozilla FireFox, if you go to View > Zoom and zoom in beyond the default. With these scenarios, and 13 or more files shared with the community, it is possible that you will not be able to see or select some of the files in order to stop sharing them.

This problem may be exacerbated if your screen resolution is low. For example, the issue will be more apparent if the screen resolution is lower than 1280 x 1024 as opposed to a higher-resolution display.

Workaround
In Internet Explorer, choose View > Text Size > Medium or in FireFox choose View > Zoom > Reset. Depending on the screen resolution, you may also need to be sure that the browser window is maximized, especially if the resolution is as low as 1024 x 768. If you set the font size in a way other than by using the View menu in the browser, then it also may be necessary for you to reset the font size to the defaults of the operating system.

The "Share Files with a Community" dialog box should display properly as long as the text size, zoom, and font are set to the defaults.

Unable to share file with a community (49325)

"Upload to folders" dialog box only allows the user to upload one file at a time (42356)

When attempting to upload multiple files, you are given the option to upload only a single file at a time. This occurs when one of the following circumstances is true:
- Adobe Flash is not installed.
- The browser you are using does not have a Flash plug-in.
- The Flash plug-in is installed but is not working.
- An unsupported version of Flash is installed.

Workaround
Check the version of Flash you have installed on your browser. For more information, see: http://kb2.adobe.com/cps/155/tn_15507.html.

The oldest version of Flash that is supported by LotusLive in order to provide multiple file upload capabilities is version 9.0.28. If you have version 9.0.28 or newer installed, and you are unable to upload multiple files, report the bug to your IBM customer support representative.

If you have version 9.0.28 or older installed, or if Flash is not installed correctly according to the following website http://kb2.adobe.com/cps/155/tn_15507.html, install the latest version of Flash. For more information about installing the latest version of Flash, see http://get.adobe.com/flashplayer/.

User entitlements additions or removals are not immediately reflected in the LotusLive user interface (56913)

The LotusLive user interface displays the services to which a user is entitled. If your company administrator adds or removes LotusLive services to your account while you are logged in, the user interface will not reflect those changes for a few minutes. The LotusLive user interface improves end user performance by limiting how often end user entitlements are checked. While the entitlement is immediately provided or revoked based on company administrator action, the current set of entitlements will continue to be displayed in the user interface until the next time LotusLive does an efficient entitlement check. If you navigate directly to a newly entitled service directly through a URL, you will be successful. If you try to navigate to a removed entitlement, you will be blocked because access checks are done immediately.

Workaround
Wait a few minutes and the user interface will reflect the changes.

iNotes

Mail

LotusLive iNotes cannot use a Notes address to send an email message

When using LotusLive iNotes to send or receive email messages, traditional email addresses (for example, name@us.ibm.com) are used. Notes addresses (for example, Name/New York/IBM) are not used.

When you use Lotus Notes 8.x to export contacts in the .csv format, however the email address is stored (either Notes or email address) is how the email address is exported. When you use the .csv file to import these contacts into LotusLive iNotes, if the email address was stored in the .csv file, it is stored in the Email address field. However, if the Notes address was stored in the .csv file, it is stored in the Notes field. When sending emails in LotusLive iNotes, the email address specified in the Email address field is used. LotusLive iNotes cannot use a Notes address to send an email.

Workaround
Lotus Notes 8.5.x and later users should export contacts in the vCard (.vcf) format. No workaround is available for users of earlier versions of Lotus Notes.

Workaround
Enter all email message text and then select the desired attributes, for example, font size, color and bold. To format your message text, for example, with bullets or numbering, select the text you want to format and then select the desired formatting options. If you want to copy and paste text from Microsoft Word or formatted text from another application, select the desired attributes after pasting the text.

Emails might be truncated for some users

If you are using other software, such as Microsoft Word, to generate email content that you want to copy to a LotusLive iNotes email, make sure you do not specify a negative margin value for your email text. Specifying a negative margin value can result in the message text being truncated when you send the email message. In this case, the recipient of your email might not be able to view the entire email.

This can occur in the following environments:
- Windows XP
- Windows 7
- Internet Explorer 7
- Internet Explorer 8
- Firefox 3.x

Workaround
If you experience this issue, you can set up IMAP access to read the email using another email client, such as Outlook.

Calendar

Date on calendar highlighted incorrectly when creating an event

While creating a new calendar event, if the operating system time zone is different from the time zone of the user who logs into LotusLive iNotes, the date highlighted on the calendar might be different from the date you selected for the event start date.

Scheduling and responding to repeating meeting invitations with Notes users

When you schedule a repeating meeting and include Notes users on your invitee list, responses from Notes users are reflected in your calendar, but the email notification you receive might not contain response details for all the meeting instances. When scheduling a repeating meeting, request a response from all invitees for all instances of the meeting. This ensures that you are up-to-date on attendance status for each instance of your meeting. If you receive an updated meeting invitation from a Notes user, the email notification you receive might not contain response details for all meeting instances, but you can respond to the updated invitation, even if you declined the original invitation.

In the following scenario the date displayed in the calendar event might be incorrect

The wrong date is displayed in calendar entries when all of the following conditions are met:
  • LotusLive iNotes is used to send a calendar entry to a Lotus Notes user.
  • The person who creates the calendar entry is using a computer where the operating system is referencing a different locale and date-time format than the person who receives the calendar entry.

Workaround
On the system where Lotus Notes is installed, change the operating system date-time format and locale to match the locale and date-time format on the LotusLive iNotes system. You can also work around the problem by comparing the date and time format on the invitation. If the start date occurs after the end date, the end date has been incorrectly identified. To resolve the problem, specify the correct end date.

Repeating meetings are canceled when one instance is canceled

You are sent a repeating meeting invitation from a Notes user. After you accept the invitation, the Notes user cancels one of the instances. The result is that all instances of the repeating meeting are canceled.

Workaround

Time zone differences between operating system and calendar functions

If the operating system time zone is different from the time zone of the user who logs on to LotusLive iNotes, when the LotusLive iNotes user goes to the calendar to create a new event, the date highlighted on the calendar might be different from the date selected when you select a start date for the event.

Personal calendar naming convention

Your personal calendar is labeled either 'Personal Calendar' or with your user name, depending on when your account was set up. If your first name and last name cannot be retrieved, then the LOCAL PART of your email address is used instead of 'Personal Calendar'. You can edit the name and description of your personal calendar. If you delete the title of your personal calendar, the title reverts to 'No title'.

Unable to send/respond to an invite to/from an iOS device

If you send an invitation and the invitation is viewed on an iOS device, no response can be sent from the iOS device.
If you create an event in a secondary or corporate calendar on an iOS device, the 'invitee' field will be ignored on the iOS device.

If your administrator used another import method, you might see duplicate entries when importing corporate contacts.

Displaying more than 3000 members returns a 504 timeout error

An administrative group cannot have more than 2000 members. When an administrator adds more than 2000 members, the system returns an error message to indicate that the limit has been exceeded.

Workaround
Create more than 1 administrative group with the same configuration when there is a need for having over 2000 members.

Other

Specifically, text such as 'begin_of_the_skype_highlighting' and 'end_of_the_skype_highlighting' might be displayed in the To:, cc:, or bcc: fields.

Workaround
Delete the extra characters in the To:, cc:, or bcc: fields that are not part of the email address.

One-time password behavior when accessing LotusLive iNotes non-web protocol

When your account administrator sets a one-time password for you, you must change that password after logging in to your iNotes account via Web Access. However, when you try to access IMAP, POP and SMTP on LotusLive iNotes, you can use this one-time password to log in over and over again and you are not forced to change it.

Dialing out to attendee using an international number does not work (46722)

If a participant enters an international phone number and country code starting with a plus sign (+) when joining a meeting (For example, +353 for a number in Ireland or +44 for a number in England), and if the host later right-clicks the participant's name in the roster and selects the "Dial Out" option, the phone number in the Dialing dialog will be missing the plus sign (+) that was originally entered by the participant at join time. Dialing out to the number does not work because the plus sign missing.

This known issue does not apply to participants who enter a North American phone number, for example, 1-888-123-4567, because the plus sign is not needed in Meetings.

Workaround
Perform one of the following workarounds:
- Participants can enter international dialing out prefixes, for example, 011, instead of using the plus sign (+).
- If the host recognizes that the phone number is an international number, they can add the plus sign (+) to the beginning of the number before dialing.
