If you are a meeting chair rescheduling a meeting (Owner Actions > Reschedule
), or a meeting invitee proposing a new time for a meeting (Participant Actions > Propose New Time
), you can click the Check schedules
button to see when other people are available.
Once you've click Check Schedules, you can do the following things:
Dark red means a person, group, or room is busy.
Light red means they are "unavailable," which may mean they have a meeting or appointment, or it can mean they could reschedule
Gray means information is not available.
Drag the meeting bar to a time when everyone is free (the bar will turn green).
If someone does not share their schedule details, or if it is less important that they make it to the meeting, you can disregard them when looking for a time. Deselect the check box next to their name or the group name.
To have Notes suggest a time for the meeting, click Look for best times
. You can pick the range of dates to look within.
