This article will provide you a couple of quick tips to help resolve issues surrounding freetime/busytime inaccuracies. There are times when a user may report a problem with his busytime information or information for other users who he is scheduling meetings with.
In the first example, notice that the bar in the scheduler for Atom Moore displays with a greyish line. This indicates that the busytime information for Atom Moore is being restricted. If you simply click on the greyish line, take a look at the Notes Client status bar. In this example, it states "Atom Moore/Blossom: You are not authorized to perform that operation."
This message means Atom Moore has restricted his busytime information. To resolve the issue, simply open Atom's calendar preferences and set access to the schedule to Everyone.
In this example, we will review an issue where a user shows as busy in the scheduler, but there is no meeting showing on the calendar at this given time.
These types of issues appear to be challenging as locating the offending document may seem difficult. However with this tip, you'll be able to resolve these issues within a matter of seconds.
So, when a user's busytime appears incorrectly, open that user's mail file and create a new meeting. You do not have to save this meeting so do not worry about inviting other users or adding a subject.
Make sure you have scheduled the meeting time for the same time of the inaccurate busytime entry. Now, select the "Find Available Times" tab and locate the inaccurate entry. From here, simply right click on the inaccurate entry and select "Open entry for ..."
Once you've selected "Open entry for...", one of two actions will take place. One, the meeting document that is taking up busytime will open and you can simply delete the document. These documents are usually related to and Out of Office document that has not be removed or a an All Day Event that was created incorrectly. Alternatively, you may receive an error message stating "Cannot locate document."
If you receive this or a similar error message, this means the busytime database information is out of sync with the calendar. To correct such an issue, simply run "Tell sched check username/ou/o" (no quotes needed). This will update the users busytime record with the actual calendar events listed in the user's mail file.
