Best Practices for working with IMAP and Outlook

Purpose: collect content on how to best use IMAP protocol with Outlook to overcome user issues.
URLBiggest user issue right now: How deleted items are kept. 
  • Users need to understand that the IMAP protocol does not support the typical use of the Trash folder and that deleted items are simple stricken through until they are purged.
  • How to purge items marked for deletion 

Other stuff

  • Set startup Inbox:  Tools - Options - Other - Advanced Options - (pick sub-folder in apporpriate folder).  Outlook does not allow "Personal Folders" to be deleted.  Choose the folder for the inbox in the IMAP account
  • Set IMAP account name.  Get to Account Settings.  In 2007 it is Tools - Account Settings in 2010 it is File - Account Settings.
  • Make sure user know that Personal Folders, Contacts and Calendars do not have a copy on the server but any folder in the IMAP mail account will have a file on the server.
  • Right click on IMAP account in left windows pay and then left click on IMAP folders.  Click Query to view the folders on the server that they can subscribe to.
