Master document
Table 2. Master document
The Documents application now has a Master Document feature. These are useful when creating long documents, particularly those that are made up of several parts or involve multiple authors. A Master Document can be composed of contents of its own, as well as linked content from sub-documents.
Step | Caption |
2.1 | Before we create a master document, let's first create a new template with the styles you want to include to use for all documents. |
2.2 | We'll save this document as a template by saving it as an .ott file. Now we can distribute the template to all the users who will be contributing content to our Master Document. |
2.3 | Next we'll create our master document. |
2.4 | Note that the tab for this document says "NewDocument.odm" This is a special extension used to designate Master Documents. |
| 2.5 | We'll enter some content into our Master Document. |
| 2.6 | Now all your contributors can create new documents using the template you gave them. |
| 2.7 | Let's insert one now. From the menu, select File > New From Template Document. It's as simple as that. |
AutoText
Table 3. AutoText
In Lotus Symphony Documents 3, you can store text -- also containing graphics, tables, and fields -- as AutoText, so that you can quickly insert the text later on. If you want, you can also store formatted text.
Step | Caption |
3.1 | We'll start by selecting the text we want to save as an AutoText entry. |
3.2 | Choose Tools > Auto Text. |
3.3 | Select the category where you want to store the AutoText and give it a name. |
3.4 | Click the autotext and then close button. |
| 3.5 | Let's try out our new autotext. You can see just how useful this can be if you need to use this text more than one time. |
Comments
Table 4. Comments
You can automatically include user data on the comments you create in your documents. You can enter your name and other information, and once it's saved, any comments you create will automatically include this information. Let's see how this works.
Step | Caption |
4.1 | We'll start by positioning our cursor on the line of text where we want the comments to be displayed and select Create > Comment. The comment opens to the right side of the document and is ready for us to write our comment. |
4.2 | We can also look at comments made by others. |
4.3 | Let's reply to this comment. |
Fields
Table 5. Fields
In Lotus Symphony 3 documents, fields are used for data that changes.
Step | Caption |
5.1 | Let's say we have a contract we'd like to have the current date appear in. |
5.2 | We'll put the cursor where we want the date to appear. |
5.3 | Choose Create > Fields > Others and click the Document tab and click Date in the Type list. Now each time you print or open that document the current date will appear. |
Nested table
Table 6. Nested table
You can now create a nested table in IBM Lotus Symphony 3 Documents. Let's see how!
Step | Caption |
6.1 | Let start by creating a simple two-row, two-column table. |
6.2 | We can click into any cell for continuous creation of new tables. We'll position the cursor and just choose Table > Create table again. |
6.3 | We'll add some column headings our new table within a table. |
| 6.4 | Notice the new arrows and labels that help you select a row, a column, or a whole table. |
Selecting a rectangle region of text
Table 7. Selecting a rectangle region of text
When working with some forms of data, it's helpful to select non-sequential text in a block. You can now select a rectangular block of text in block selection mode.
Step | Caption |
7.1 | We'll choose Edit > Selection Mode and choose Block area. |
7.2 | We can now select a block of text. |
