We currently use a management hierarchy system for approving reviews, time off, etc. All of our reviews, time off docs, etc., have the hierarchy stamped on them as Empmgr1, 2, 3, etc., when the document is first submitted for approval. The workflow works fine as long as there is no change in the hierarchy during the process. However if a manager is changed, the hierarchy is now different between the employee profile and the time off document. So the document is waiting for a manager that no longer works here to approve it and the new manager does not have access to do so.

One solution is to go through and update all the documents on a management change, but there are quite a few databases we use that have documents with hierarchy stamped on them so I am looking for a better method. Maybe something where the hierarchy is looked at in real time every time a doc is opened but that leads to the problem of how the user was able to open it in the first place if they are not stamped on it as a manager in a reader field.

This seems like a pretty standard problem companies have to deal with and I am hoping some of you can share some ideas with me about how your company handles it.
