Oftentimes, depending on your organization, you can get a lot of company newsletters, department newsletters, and/or group newsletters in your email. These things can start to add up after awhile, and it can really clutter your Inbox quite a bit. These types of mass-emails often have useful information, but are not necessarily something you need to read immediately.
What I like to do for emails like this, is send them to a separate folder automatically, so they stay out of my Inbox, but I can read them later when I have some time. Notes makes it very easy to do this, with a feature called QuickRules. Here's how to do it:
- Create a folder called "Newsletters," or whatever you want to call it.
- When you get a newsletter, select it in your Inbox, and then click More > Create QuickRule .
- In the Create QuickRules window that comes up, select the checkbox next to When Subject, and then select either "contains" or "is" from the drop-down list.
Note: Make sure that the words in the subject field are the only words that are always in the subject of the newsletter. For example, if your newsletters had subjects like October Marketing Newsletter, November Marketing Newsletter, etc, you would want only the words "marketing newsletter" to be in the subject field.
- Next, in section 3 , click the Select button, and select the folder you created in step 1, which is "Newsletters" in the example.
- When you're done, click OK.
From now on, whenever you get e-mails containing "Marketing Newsletter, Notes will automatically move them to your Newsletters folder.
You can do this with all newsletters or other bulk mail you get, so you can keep them out of your Inbox, and deal with them when you have the time.
