The IBM Sametime 8.5.2 and 8.5.2 IFR1 releases include some great new features that give you an improved meeting experience, including:
- "Managed access," so that the owner or manager must join a meeting first, before participants can.
- A new option to let the meeting room owner make everyone join the meeting muted.
- The ability to remove a participant from a meeting.
- New End Meeting and Leave Meeting options.
A meeting room displays.
Many of these same features are now available in meeting rooms that open in a browser window. People who join meetings from outside your company, or people who don't have the Sametime client, can still actively participate in your Sametime meetings by opening a meeting's web address or URL in their browser.
Point to a Sametime meeting room in browser.
Unless otherwise mentioned, all the features shown in this video are available in both the Sametime window and the browser-based meeting.
Point to Voice and Video area of the meeting room and the Join Call phone icon.
Managed access and Large meeting support
Table 2. Managed access to meeting rooms
Remove a participant from a meeting
Sametime 8.5.2 introduced a new security feature called "managed access." With this feature the room owner or manager must enter a meeting room before participants can. Use this feature if you don’t want participants in a meeting room unless you are there first.
Point to the name of the meeting room owner.
You can set managed access for an existing meeting room using the Room Tools > Change Room Settings
Or, you can set it when you first create a new meeting room using the new room interface.
Click Room Tools > Change Room Settings. The Edit Meeting Room Settings dialog box displays. Point to Meeting Room Has Manager Access setting.
Also, for large lecture-style meetings with many participants, you can specify that participants join the audio call on mute.
Again, set this using the Room Tools > Change Room Settings.
Point to a meeting room with call controls showing under the Voice and Video area of the meeting room.
Browser-based Sametime meetings now support audio and video, as well as telephony. This means you can now have an audio call made from within a meeting room for your Sametime meeting in a browser window.
Point to displayed browser-based meeting.
Once the call has started, call icons for hanging up, muting the call, and so much more display to give you better control over the meeting's audio.
You can also select to mute and unmute participants as needed using the appropriate menu commands.
Table 3. Remove a meeting room participant
Another Sametime 8.5.2 feature enables meeting room owners and managers to remove a participant any time from a meeting room.
Point to the participants list.
Participants removed in this way will not be able to re-enter the meeting room for a specific amount of time as defined by your Sametime administrator.
Point to meeting room participant list after person is removed.
New End and Leave Meeting options
Table 4. End and Leave Meeting options
The Leave Meeting option lets anyone in the room leave the meeting. Participants see only the Leave Meeting button.
Point to the meeting room.
In Sametime 8.5.2, we added a new End Meeting button in the meeting room.
Show the End Meeting button Leave Meeting and End Meeting for All options.

We’ve also made some nice improvements for sharing documents, such as a presentation. You can now highlight content on a page you’re sharing, for example, to bring focus to it. Click Tools to select a color to highlight something you are sharing.
Click Tools to show Yellow Highlighter, Pink Highlighter, Blue Highlighter, Green Highlighter, and Erase All Marks display. Select Pink Highlighter and underline something being shared.
It’s also now very easy to quickly skip to a specific page in a document that you are sharing.
Point to You are sharing page and type 4. The 4th page in the document displays.
So, now with these great improvements, you can have an optimal meeting experience whether your Sametime meeting opens in a Sametime or a browser window!
